Our philosophy is always to provide facilities and services of reasonable quality. In order to fulfill this expectation, the following terms and conditions have been designed to ensure your time with us runs smoothly. Acceptance of your function by both parties is also acceptance of these Terms & Conditions

Tentative bookings will be held for a maximum of 30 days, unless otherwise discussed. If the booking is not confirmed by the initial booking person or their representative, we will be obliged to release the space without notice.

Cancellation of any booking must be notified in writing, by fax, letter or confirmed email. A part or all of any deposit may be refunded if the notice is less than 14 days from the event.

Menu Selection For the purposes of providing the best quality food and services, your catering requirements must be with the chef at least 7 days prior to your event.

Guaranteed Numbers A guaranteed minimum number of guests attending your event is requested five working days or as per agreement, prior to your event. You will be charged for the number of guests attending or the guaranteed number, whichever is the greater.

Insurance We cannot take responsibility for damage to or loss of items before, during, and after your event. We recommend that you arrange you own appropriate insurance cover.

Damage Please, we hope not but you may be financially responsible for any property, fixtures and fittings which sustain damage attributable to yourselves or your guests/participants during your event, No equipment, props or devices associated with your event may be used without prior arrangements with Ballantyne Catering management or Club management.

Guest Host Responsibility It is the guest hosts responsibility to ensure that all attendees behave in an orderly manner at all times while on property associated with your event.

Prices are current at the time of quotation but may be subject to change at the managements discretion to meet rising costs. Prices will be confirmed in writing on our receipt of your confirmation and deposit. Deposit is set at 50% of probable agreed cost unless otherwise arranged and agreed. Payment All accounts are to be paid in full by the date of the booking or by arrangement with Ballantyne Catering management. Any additional charges not included in the original contract must be paid for on the conclusion of the event.

Parking Please note that all parking is subject to availability and only in unreserved areas

Food and Beverage No food or beverages may be brought on to the property for consumption during your event, unless by prior arrangement with Ballantyne Catering or Club management. The same applies when considering taking food from the property.

Function Location We reserve the right to re-locate your event due to circumstances beyond our control. You will be advised when any decisions are made. We will make suitable arrangements according to your original specifications.

Advertising Prior permission is required to use the properties name and/or logo in any advertising medium. All proposed advertising material must be approved by Ballantyne Catering and Club management prior to publication.

Responsibility Should we be unable to provide the facilities reserved due to circumstances beyond our control, no further claim other than an entitlement to a full refund of any deposits paid may be made. We endeavour to provide you with reasonable notice. 

Some minor rules….

Children must be supervised at all times and are not allowed in the Gaming area - only in the Lounge Room and Dining Room.

Time of eating must be specified and strictly adhered to or discussed with Ballantyne Catering management.
